The trick to finding your right scanner is based on your budget, volume (number of pages you daily scan) and desired features.

    Budget:

Robust yet entry level document scanners are a good place to start for a small business or business areas with 1-5 employees. For organisations with more staff and large volumes of documents we recommend larger high speed scanner models.

    Volume:

It comes down to speed! If fast scanning of your paper based files is important to you then you will be after a document scanner capable of scanning 60 or more pages a minute.

    Features:

To be an effective paperless office we recommend that your scanner has three important features:

1.       The ability to create a text searchable pdf (and other file formats). This ensures that you can search for the document as well as the content within the document. This is particularly handy when using Info-Organiser’s text search. Also PDF in Australia has become the National Archiving standard for documents. So a default PDF feature is essential when needing to meet compliance standards. Other popular and useful file formats include JPEG, BMP, Tiff.

2.      Able to do double sided scanning. Many documents (utility and telephone bills, and general correspondence) are double side. Printing documents double sided is coming standard practise as people seek to halve the amount of paper they send out. Most of today scanners are “duplex” (double sided) and having this feature will halve the time you spend scanning.

3.      Document feeder: To maximum efficiency a document feeder is essential. As on a photocopier, it is easier to stack one or more large documents and set it to scan, rather than use a flatbed scanner where you scan one page at a time. Flatbed scanners have their uses but in a daily paperless office environment they are slow and very time consuming.
